Who is right for the job?

Phoebe, a premier provider of high quality nursing and rehabilitative health care services to older adults, is seeking a compassionate, caring, and experienced Guest Services Associate to be responsible for all guest relations and who are interested in joining our dedicated team at our Allentown Terrace campus.

Shift: Every other weekend 9:30am-2:30pm.

Skills crucial to success in this role: 

  • Answers and directs incoming calls promptly in a friendly, courteous voice; takes messages; receives requests for printed material.
  • Greet visitors in a pleasant and courteous manner; requests that visitors sign the guest book; directs them to the proper person or department.
  • Answers basic questions and provides general information.
  • Completes phone checks on selected residents as scheduled and performs wellness checks as needed.
  • Responds to phone calls and inquiries from prospective residents.
  • Makes record of marketing inquiries and files report with marketing for follow up.
  • Provides tours upon request or as scheduled.
  • Answers questions regarding Terrace program, apartment amenities and contracts.
  • Makes follow up telephone calls as assigned and schedules tours or interviews with the manager as indicated.
  • Refers telephone messages and requests for assistance to staff as necessary
  • Aids Community Life with setting up simple weekend activities such as starting movies, etc.
  • Performs clerical duties, i.e. collates and assembles printed material and admission agreements, collates pieces of marketing packet, makes copies of printed material as requested, identifies individuals not previously on the mailing list and adds new names to the list, and enters data into the computer system.
  • Coordinates specific work tasks with other personnel within the department as well as with other units and departments in order to ensure the smooth and efficient flow of information.
  • Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed.
  • Responds to inquiries relating to his/her particular area or to requests from residents, staff personnel, etc., within given time frames.
  • Insures an atmosphere which allows for the privacy, dignity, and well-being of all residents in a safe, secure environment.
  • Responsible to provide hospitality service in assigned dining room and any other guest service areas during specific meal service times.
  • assist guest with menu selections, wait on guests at assigned meal times.
  • Responsible to pre-stage dining areas, set tables, per required meal standards; prepare hot and cold beverages, assist with hot and cold food assembly (Ex. Sandwich and salad assembly),
  • Maintain clean and sanitary work environment including: busing and clearing of tables, reset tables as needed, while maintain dining hospitality standards.
  • Assist with guest off premises request(take-out) per dining delivery policy.
  • Wash, sanitize and put away dishware for re-use.
  •  Ensures an atmosphere which allows for the privacy, dignity, and well-being of all guests in a safe, secure environment.
  • Set-up assigned dining areas, per meal service standards, serve in allotted timeframe for each meal, and maintain sanitation standards throughout each meal service.
  • Must Have's:

  • High school diploma or equivalent
  • Moderate reading, writing, mathematical, interpersonal relation and communication skills; Have professional mannerisms and a pleasant telephone voice. Must type a minimum of 40 WPM and have demonstrated computer software knowledge.
  • Two (2) years of previous experience as receptionist normally required.
