Benefits/Leave of Absence Specialist

BayMark Health Services is looking for an organized Benefits/Leave of Absence Specialist to administer the daily employee concerns/matters in the following functional areas: Human Resource Information Systems (HRIS), leaves of absence including ADA, benefits, terminations, workers’ compensation, 401K retirement plan and unemployment. Prior experience working with multiple state locations and the ability to work closely with remote offices to ensure program compliance and employee satisfaction is required. This position will provide an employee-oriented, high performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and ongoing development of a superior workforce.

Essential Duties & Responsibilities:

  • Maintains employee-related data bases as it pertains to benefits and leave of absence programs. Prepares and analyzes reports that are necessary to carry out the functions of the department and company. Prepares periodic reports for management, as necessary or requested.
  • Fully utilizes Human Resources software to the company's advantage.
  • Processes terminations in ExponentHR after receiving appropriate documentation as well as manager approval for involuntary terminations.
  • Respond to all unemployment claims and hearings for each state timely and accurately including but not limited to a daily tracking log of incoming claims and communications, including but not limited to gathering information (i.e. resignation letter, disciplinary actions, policy, etc.) from the Treatment Center Director or NSC to be sent to the requesting state representative.
  • Provides day-to-day benefits administration services. Assist employees with any medical/dental claim issues.
  • Develops and schedules benefits orientations and other benefits training.
  • Administer Portal transactions and errors, etc. as they arise.
  • Provides daily administration of the Company’s Retirement Plan.
  • Ensure 401Kfiles are funded in PSW (Plan Sponsor Website) timely and correct any errors if applicable.
  • Prepare paperwork necessary to begin the leave of absence process
  • Communicate with both the employee and direct supervisor of upcoming dates and deadlines as necessary including approval of leaves.
  • Author approval letters, denial letters, and miscellaneous letters as needed based on the leave of absence status.
  • Answer disability claims from insurance carrier or state-sponsored programs as required.
  • Coordinates ADA concerns that arise including during leave of absence.
  • Ensures ADA accommodation requests are timely answered and coordinated.
  • Ensure current policy is clearly communicated to managers and employees.
  • Process all invoice reconciliation for each carrier/vendor including the allocations to each company/location as necessary.
  • Ensure that any errors found against the invoice are timely resolved.
  • Complies with all existing governmental and labor legal and government reporting requirements including any related to but not limited to the Equal Employment Opportunity (EEO), the Americans With Disabilities Act (ADA), the Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), Pregnancy Disability Leave (PDL), Employee Retirement Income Security Act (ERISA), the Department of Labor, worker compensation, the Occupational Safety and Health Administration (OSHA), San Francisco City/County Ordinances and so forth including Paid Parental Leave (PPL). Maintains minimal company exposure to lawsuits.
  • Protects the interests of employees and the company in accordance with company Human Resources policies and governmental laws and regulations.
  • Remain composed in a stressful environment and deal with frequent deadlines and multiple priorities.
  • Follow instructions and use critical thinking skills to make decisions.
  • Conduct all business activities in a professional and ethical manner.
  • Interact with all staff in a positive and motivational fashion supporting the Company’s mission.
  • Perform and complete special projects as assigned.
  • Other duties as assigned.


  • Minimum of a Bachelor's degree or equivalent in Human Resources, Business, or Organization Development or equivalent experience preferred.
  • Training in employment law, employee relations and training preferred.
  • Professional in Human Resources (PHR) certification preferred not required.
  • Experience in the administration of benefits and compensation programs and other Human Resources programs.
  • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management and record keeping.
  • Effective oral and written communication.
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational skills
  • Ability to multi-task and handle large volume of detail work accurately and efficiently and meets deadlines
  • Compliance with accepted professional standards and practices
  • Satisfactory references from employers and/or professional peers
  • Satisfactory criminal background check
